How do you use Task2Gather?

We were very lucky to get a nice story how Roberto uses Task2Gather at his work. Here is his story:

Happy to tell you about how I use t2g.

I manage 4 computer labs (1 large-ish one and 3 small ones) in my academic department, with a total of over 40 computers. At any given time, I have 2 or 3 student workers who put in a few hours a week each to help keep things running smoothly.

With busy schedules during the school term, it’s difficult to communicate and stay on top of tasks that need to be done (installing new software, imaging lab machines, solving problems with printing or shared drives, etc.). Our individual schedules and the shared task list are all on t2g so we can easily keep in touch and focus on what needs to be done.

Furthermore, lists of software, configurations, hardware, and other important information about the resources we manage are also kept there. Everything from requests for new software to equipment that needs to be purchased makes its way into this powerful tool that has now become a repository of everything related to the services we provide.

The iPhone/iPod Touch app is just the icing on the cake. Our campus doesn’t have good GSM coverage, but WiFi access is fairly ubiquitous, so I can check on the progress of various tasks from virtually anywhere.

We use comments to maintain a history of changes to a particular item and discuss proposed changes, so new team members can easily see not just where we are, but how we got there. We occasionally wish there were tags or priorities for individual items, instead of the strict
hierarchical tree structure, but we’ve made it work quite well up to now.

BTW, I also use T2G at home–my wife and I share our shopping list, honey-do list, and trip preparation list there. It’s a great tool!

Priority in Task Management

Tasks priority is one of the key features in Task management. Almost every tool created for managing tasks has this feature.

Task2Gather is not an exception. Right now the priority can be set either by putting the deadline or by assigning the special color to the task.

Modern Technologies in Thanksgiving

Thanksgiving is time to gather together with your friends and family, to offer thanks and have holiday meals. Its time of turkeys, stuffing, and pumpkin pie. A time for Indian corn, holiday parades and giant balloons.

Do you have some difficulty in organizing your Thanksgiving? You may easily do it with Task2Gather. Create a project called “Holidays” (there are lots of holidays ahead) then create “Thanksgiving Day” as a subtask. After that think of the activities you should do, let it be “Preparing a meal”, “Entertainment” and “Shopping list”. If you’re host of Thanksgiving meal you may assign “Preparing a meal” to yourself and put step by step what to buy and what to cook. In addition you may assign such tasks as “Bring some wine”, “Bring some chocolates” or “Prepare entertainment activity” to your guests.

Go Shopping with Task2Gather

Do you remember going shopping with a list of paper where all items that you’d like to buy were inscribed by you? It’s alway been tough to do that. Firstly, you take a list of paper, a pen or pencil and then start making up the list. Another important procedure is not to leave the list at home or the worst not to lose it on your way to the shop. It becomes even more tedious when you try at the same time seek for the products you need and cross out with the pencil the stuff you’ve already put in your cart.

Task2Gather installed on your iPhone or Windows Mobile can make shopping a real pleasure. Having created a  shopping list only once you won’t need to compile it each time from scratch. (more…)

Tags for Task2Gather Projects

The most frequent plea from Task2Gather users was to add support of tags in Task2Gather. Therefore we’ve made up our mind to meet our users demands. Any project in Task2Gather can now be tagged. To assign a tag to a project you should highlight the project by clicking it with a mouse than in “Additional info” panel type in the tag name or choose the one that exists in the “Tag” field:

Don’t forget to press “Save” button to save the changes.

All tags that you’ve assigned to different projects are seen in the column above the names of the Projects. Choose the one you need and in the left column will be shown only those projects that have the chosen tag.

Another great feature that will be to our user’s liking is news. News is the number beside the project or task name that shows the number of changes made in the project or task:

In the previous version of Task2Gather news were generated due to all changes that took place. Now you’ll see only those news that appear in the task that you are responsible for or  where you made some changes or left your comments. Therefore news have become more informal for you.

iCalendar Subscription at Task2Gather

You may subscribe to your tasks notifications at your calendar. It can be any calendar that supports iCal subscriptions.
To get your link for iCal subscruption open your Task2Gather account from the desktop computer, click “iCalendar” button in the right upper corner of the screen.

How to make Templates in Task2Gather

Most of the people have come across with the feeling of déjà vu as if something has already happened. Probably, it happens because we are to do some things more then once in our lives, for example, going shopping, getting prepared for a vacation or a business trip, etc.

So, using Task2Gather you don’t need any more to compile a new list of to-do’s and to-take’s every time. With Task2Gather you may create a special project called “Templates” where you can put seperate lists for different life situations. For instance, it can be different shopping lists, lists of actions that reoccur from time to time, etc. When you need one of the templates, you just choose the one you need, make it highlighted by clicking it, after that press “Duplicate” in the menu panel. There emerges the copy of the list you’ve chosen (*name of the list* copy), click the “name of the list” copy and press “Cut” in the control panel then choose the project where you want to paste this list and press “Paste”. Now you may enjoy checking the list once again. It’s really useful! Just try!

How To Use Tasks Export Feature in Task2Gather

Any project or a task with subtasks in Task2Gather can be exported to html format. Therefore, you can save either an html file or txt file. You may also print your data if you need.
To export a project or a task you should click the one you need (so that it is highlighted) and press “Export” in the control panel. A new html document will be generated in the new browser tab:

How to Use Colors

Colors are filters that can help you to pick out only the tasks with the specific color. First of all you need to think of the colors legend. For instance, our company uses the following color legend:

New tasks

Bugs

Marketing tasks

Wishes

SEO tasks

Personal

To assign a color to a project or a task you should click the one you need (so that it is highlighted) choose the color in the “Additional info” panel and press “Save” button.

If I need to see all my tasks for Marketing I choose yellow square in the left bottom corner, my name and all projects.

After that all tasks that suit this parameters are shown “In filter”.
